Cugini Job System Privacy Policy

Cugini Woodworking LLC (“Cugini,” “we,” “us,” or “our”) respects the privacy and security of information used in connection with the Cugini Job System.

The Cugini Job System is an internal business application designed to help authorized Cugini Woodworking personnel manage customer projects, job information, documents, workflow, and related business information.

This Privacy Policy explains what information the Cugini Job System may access, how that information is used, how it is protected, and the choices available regarding connected services.


1. Information We Access and Process


Depending on how the Cugini Job System is used, the application may process information including:

Customer and Project Information

  • Customer names
  • Project names
  • Mailing and project addresses
  • Email addresses
  • Telephone numbers
  • Builder or contractor information
  • Job numbers
  • Project descriptions
  • Project status and workflow information
  • Installation and delivery dates
  • Job notes
  • Estimates and financial information related to a project

Job Documents and Files

The Cugini Job System may organize or provide access to business files stored in Cugini Woodworking's authorized storage systems, including:

  • Drawings
  • Photographs
  • Estimates
  • CNC files
  • Purchase orders
  • Invoices
  • Correspondence
  • Job notes
  • Other project-related documents

QuickBooks Online Information

When an authorized user connects the Cugini Job System to QuickBooks Online, the application may access accounting and customer information necessary to provide job-related financial information.

This may include:

  • QuickBooks customer and project information
  • Customer and project identifiers
  • Estimates
  • Invoices
  • Invoice balances
  • Payment information
  • Accounts-receivable information
  • Company information necessary to verify the QuickBooks connection

The current QuickBooks integration is designed to access this information on a read-only basis. The Cugini Job System does not currently create, modify, delete, void, send, or otherwise alter QuickBooks accounting transactions through this integration.


2. How We Use Information

Information accessed or processed by the Cugini Job System is used for legitimate business purposes of Cugini Woodworking, including:

  • Creating and managing customer jobs
  • Organizing project files and documentation
  • Tracking project status and workflow
  • Assigning project responsibilities and next actions
  • Reviewing estimates, invoices, payments, and balances
  • Matching Cugini jobs with corresponding QuickBooks customers or projects
  • Managing internal project records
  • Supporting customer service
  • Supporting project scheduling and production activities
  • Troubleshooting and maintaining the Cugini Job System
  • Protecting the security and integrity of Cugini Woodworking's systems and information

We do not use QuickBooks information for unrelated advertising or marketing purposes.


3. QuickBooks Authorization

The Cugini Job System uses Intuit's authorization process to connect to QuickBooks Online.

Users must expressly authorize the connection through Intuit before the application can access QuickBooks Online information.

QuickBooks access credentials and authorization tokens are not displayed to ordinary application users.

On supported Windows computers, QuickBooks authorization tokens are stored using protected Windows credential-storage mechanisms rather than being stored in ordinary project files or Dropbox folders.

The Cugini Job System does not request or store a user's QuickBooks Online password.


4. Data Sharing

Cugini Woodworking does not sell personal information or QuickBooks information.

Information processed through the Cugini Job System may be made available only as reasonably necessary to:

  • Authorized Cugini Woodworking personnel
  • Service providers that operate systems used by Cugini Woodworking
  • Cloud-storage or technology providers used to operate the application
  • Intuit/QuickBooks Online when necessary to establish or maintain the authorized QuickBooks connection
  • Legal, regulatory, or governmental authorities when required by applicable law

Service providers are permitted access only as necessary to provide the applicable service or support Cugini Woodworking's legitimate business operations.


5. Data Storage

Cugini job information and project documents may be stored in systems authorized by Cugini Woodworking, including Dropbox or other business storage services used by the company.

Certain application configuration or authentication information may be stored locally on authorized Cugini Woodworking computers.

QuickBooks authorization tokens are intended to be stored using secure device-level credential storage and are not intentionally stored in Cugini Woodworking's Dropbox job folders.


6. Data Security

Cugini Woodworking uses reasonable administrative, technical, and organizational measures intended to protect information handled through the Cugini Job System.

These measures may include:

  • Restricted access to authorized personnel
  • Secure authentication
  • OAuth authorization for connected services
  • Device-protected credential storage
  • Controlled access to business files
  • Validation of application records
  • Secure communications with supported third-party services
  • Software maintenance and security updates

No computer system or method of electronic transmission can be guaranteed to be completely secure. We therefore cannot guarantee absolute security.


7. Data Retention

Cugini Woodworking retains customer, project, accounting-reference, and business information for as long as reasonably necessary for:

  • Active project management
  • Customer service
  • Accounting and recordkeeping
  • Warranty or service obligations
  • Business operations
  • Legal or regulatory requirements
  • Dispute resolution

Information may subsequently be deleted or archived in accordance with Cugini Woodworking's business and legal record-retention practices.


8. Disconnecting QuickBooks Online

An authorized user may disconnect the Cugini Job System from QuickBooks Online.

Disconnecting removes the application's locally stored QuickBooks authorization credentials and prevents further access until the connection is authorized again.

Internal Cugini job records may retain the QuickBooks customer or project identifiers previously associated with a job so that the relationship can be restored if QuickBooks is later reconnected.

Disconnecting QuickBooks does not itself delete information maintained independently in QuickBooks Online.


9. Access and Correction

Customers or other individuals who believe Cugini Woodworking maintains incorrect personal information about them may contact Cugini Woodworking to request that the information be reviewed or corrected, subject to applicable legal and business recordkeeping requirements.

Because the Cugini Job System is primarily an internal business application, access to the application itself is limited to authorized users.


10. Third-Party Services

The Cugini Job System may interact with third-party platforms used by Cugini Woodworking.

Those services maintain their own privacy practices and terms.

Use of QuickBooks Online is also subject to Intuit's applicable privacy policies, terms, and authorization requirements.

Use of Dropbox or other storage services is subject to the applicable provider's privacy policies and terms.


11. Children's Privacy

The Cugini Job System is a business application and is not intended for use by children.

We do not knowingly use the application to collect personal information from children for consumer-oriented purposes.


12. Changes to This Privacy Policy

Cugini Woodworking may update this Privacy Policy as the Cugini Job System changes or as legal, regulatory, security, or business requirements evolve.

When material changes are made, the revised policy will be posted with an updated effective date.
